NEDBANK RUNNING CLUB GAUTENG NORTH AGM

We had 21 Attendees to our AGM and everyone signed in and everyone signed the COVID 19 register and took their temperatures as per COVID-19 regulations stipulations. 

We had some Club Members that RSVP’ed that did not arrive.

The meeting started off with welcoming everyone for attending by Chairperson Jacuqe Rencontre.  Jacque noted there are food and drinks served after the meeting and everyone should have received a green sticker for their drinks to hand in at the bar.

It was noted that we reached a corium as our Constitution states 15 Members to be present and we are 21 Members present and received 3 Proxies via email.

It was noted that AGM Notice was sent out via email, sms’, Face Book, Twitter and Instagram 1 month before, 28 December 2020 for the original AGM for 28 January 2021 but had to be postponed due to COVID 19 Regulations. The new date for the AGM was also sent out via email, sms’ and all social media.

The 2020 Minutes for the AGM was signed off by Members votes.

Chairpersons Report – Jacque Rencontre

2020 was a hard year for everyone especially our Club Members and the Elite Athletes.  Without the support of our Sponsors it would have been even harder.  Together we all tried to swing our runners to Virtual runs and I am pleased that our Club Members have embraced this new normal as they call it.

We hosted the Nedbank Running Club Enoch Skosana race Saturday 5 December 2020, this was a highlight for 2021 although we did not make a profit on the race, it was a great race and those that ran it appreciated us hosting a race under such strict COVID 19 regulations.  It rained hard that day.  We had 292 entries and fell short of our 350 entries to break even on cost.  We kept the entry fee low so we could attract runners but due to COVID 19 people were still reluctant.  We are disappointed again that our Club Members did not support the race by entering or put their names forward to assist on the day.  We had a small group or runners supporting from Nedbank Running Club Johannesburg though who ran the race.  We want to thank Nick Bester, Nedbank and all our Sponsors that pulled out all the stops to assist us with prize money and goody bags.  If it was not for them we would have made an even bigger loss.  Thanks to Francois that also assisted with the Finances and Enoch on race day.  We want to thank Pio and his Team that came to assist us with the parking on race day.

National hosted the Runified Series and that assisted visibility for Nedbank Running Club and this did extremely well.  Well done to those that participated.

Our Club Social Media is also doing very well as I try to post all information from National, our Elite Athletes and other interesting running news as it comes in.

Face Book:  We have 2,965 followers, averaging 2,813 for month of February and our Reach are sitting on 668 on average per post, and this is people who saw any of our posts at least once.

No followers hides any of our Posts. 

Our biggest reach were for our 4 week Challenge where our 1st challenge with results that was linked to the Nedbank Running Club Website for the results 1,100 people saw the post and the post with the winners reached 843 people. 

Time Trial notifications between 135 and 282 people see our posts and the new Runified series video reached 298 people. 

Our Club Membership renewal post on 02/01/2021 1,100 saw the post with our Club Pamphlet

Our December Newsletter reached 697 people and January News Letter 336, this averages each month between 300 and 400 views although this is emailed out as well.

Nedbank Running Club Enoch Skosana Race posts reached from 646 to 794 on average every time.  The photos of the winners and the race reached 352 people

Instagram: 166 followers and all information that is posted on FaceBook and Twitter is posted on Instagram

Twitter:  Follower under my name, as everyone knows me as linked to Nedbank Running Club, we have 582 followers and all the posts that I do is liked and reposted with Nedbank Running Club National in the post as well as our Sponsors.

STRAVA:  We have 419 runners linked to our APP and 672 active runners at any given day

Total Club Kilometers so far is 5,491 kilometers per week with leading distance of 84 km per day

Our STRAVA 4 week Time Trial Challenge drew a lot of runners from across SA, Africa and Internationally ie Russia, Argentina, Saigon, Ukrain, Switzerland, France, Dubai and America

Congrats to our winners and thank you to Nick Bester for assisting with Biogen and Futurelife goody bags from our Sponsors for the 2 winners that increased their time by over 10%

Then each week I receive

In 2020 we had 289 Club Members and Sponsored 29 Elite and 2 other athletes, Juniors we Sponsored licenses for Enoch Skosana 17 Junior Licenses

2021 had a slow start as we only have 33 Members (52 if you add in free Membership and 1 unidentified payment).  This is due to a few reasons, people do not have money due to some who lost their jobs, our Members generally pay cash and renew when licenses are issued and the other reason is runners are unsure what will happen regarding COVID although all our communication states why it is important to renew.

In 2021 we have to change our mind set and go to areas where our Club Members are situated to promote and sell licenses and host Time Trials there as we do not have races where runners can obtain Club Membership.  Also keep promoting Runified Series when it starts again.  The Club needs to offer prizes & challenges for our Virtual Time Trials until we can have full capacity Time Trials and races again to keep our Club and Nedbank Running Club top of mind.  But I have noticed that most of our Club Members cannot get to Time Trials in Groenkloof and we need to offer alternatives by going out to our Club Members in their areas.

I want to thank the Committee for their support during 2020 and always attending our Virtual Meetings and Adriaan that supports us where he can.  Thanks again to Nedbank Running Club National, Nick Bester, Nedbank and all our Sponsors as it was a trying year and without their support it would be even harder.  Clubs are struggling and we are fortunate that we have great leadership and Sponsors.

I wish we can give out more prizes as I would like to thank Thompson and Solice for always posting great photos on Instagram that assist in promoting the fun they are having during their runs.

I emphasized that Club Members need to renew their 2021 Club Membership and James Tito raised to speak as well to emphasize the importance of renewing your 2021 License.  He told Club Members that if you are training on the road or taking part in Time Trials or Virtual Races and a car knocks you over, you can bring your claim to the Club where the Club will assist your with ASA for payment of your Medical Bills.  Runners still do not understand and comprehend this although numerous communications are sent out in Newsletters.  If we do not have the support of Club Members we cannot Sponsor up and coming runners or support our Elite Athletes during this challenging times.  Part of your club fees goes towards sponsoring a runner with Club Membership as well as Elite Athletes.

Francois emphasized as well that Club Members need to understand that nearly half of their Club Membership goes towards their new running license that is paid to AGN and that club fees are very low.

Francois Venter presented the Financial Report:

Francois went through the Financials. Although we had favorable Club renewals up to end of February 2020 of 289, COVID 19 took a toll to reach the number of around 360 of 2019.  The financials are looking favorable, see attached Financial Report and Francois thanked Jacque that she dropped her fee during COVID as well as her hard work and initiatives.  Thanks was also given to the Committee that attended each Virtual Meeting and giving up their time.  Thanks was given to Adriaan for always assisting where he can.  We saved money on Tent cost and Monthly Braais at the Club as there were no races due to COVID.

We will negotiate cost with CBC Old Boys Club to bring our annual membership fee down as we paid the full amount for 2020 and 2021 our membership is very low currently.
